Converting a PDF to Word is routine until the formatting has to survive the trip. This hub collects 30 guides covering the PDF-to-Word questions we see most often, all written for offline desktop conversion.
Which Route Fits Your File
Conversion quality is decided by the source file, not by the tool. Find your document in the first column and take the matching route.
| Your file | Best route | What you get |
|---|---|---|
| Text-selectable PDF | Direct export to DOCX | Editable text, minor spacing fixes |
| Scanned or photographed page | Run OCR first, then export | Editable text, approximate positions |
| Multi-column or designed layout | Export in preserve-layout mode | Faithful pages, fiddly to edit |
| Long report containing tables | Export, then rebuild the tables | Clean text, tables need tidying |

1 Open your PDF in a desktop PDF editor
Launch the editor and open the file. Click into a paragraph to check that the text can be selected: if it highlights, the PDF is born-digital and the export will work. If nothing highlights, the page is a scan and needs OCR before the conversion.
2 Choose the export target: Word
Open the Convert or Export menu and choose Word, then confirm the output format is DOCX. DOCX keeps images, tables and styles; RTF and plain text discard most of that, so only choose them when you specifically need the older format.
3 Set the layout mode
Preserve layout pins every element to its original position, which reproduces the page faithfully but is clumsy to edit afterwards. Flowing mode rebuilds real paragraphs, columns and tables. Choose flowing if you intend to rewrite the document.
4 Run the conversion
Start the export and wait for it to finish, then compare the DOCX against the source PDF. Check the page count first, then tables with merged cells, numbered lists and anything inside a text box, which are the parts that move most often.
How We Test & Write These Guides
Independent, hands-on method — every guide is verified on real documents.
Tested on Real Files
Every walkthrough is run on the same four test documents: a single-column report, a multi-column newsletter, a bordered table and a scanned form.
Offline First
Each method works with a desktop editor, so nothing is uploaded to a server and no file-size limit applies.
Output Verified
We convert the file, then open the result and check page count, tables, lists and fonts before the guide is published.
Re-checked, Not Reposted
Guides are re-tested when the tools behind them change. The date on a page is the date of its last check, not the day it was written.
Frequently Asked Questions
Do I need to install anything to follow these guides?
No paid software is required. Each guide uses tools that are either built into Windows and macOS or available as a free trial of a desktop PDF editor. Everything runs on your own machine, so you can work through a guide without an internet connection.
Why do the guides differ in length?
Each guide answers a specific question. Questions that hide several cases, such as converting a scanned document or keeping a multi-column layout intact, need more explanation than a straightforward export, so those pages run longer.
Which editor were these guides tested with?
The walkthroughs were verified with PDF Agile, a desktop editor that processes files locally. The menu paths and settings are also present in most comparable desktop editors, so the steps transfer even if your interface differs slightly.
Are these guides kept up to date?
Yes. Guides are re-tested whenever the tools behind them change, and the date shown on each page is the date of the last verification rather than the date it was first written.
Can I use these methods on a Mac as well as Windows?
Yes. Both platforms are covered, and where a step is phrased around Windows the equivalent macOS menu is the same in meaning. The conversion itself is identical on either system.
